Who is responsible

ElderIndex (Elder Index) is the trading name of Joshua Fraser Shaw, a sole trader. Business correspondence address: 9 Connynger Crescent, Shrewsbury, Shropshire, SY2 5QE, United Kingdom. Email: hello@elderindex.co.uk. ElderIndex is not VAT registered. Joshua Fraser Shaw is responsible for the personal information described in this notice.

Information we use

Enquiry forms ask for your name, work email and message. You may also provide your organisation, website and services of interest. Email discussions and agreed projects may include contact details, scope, invoices and payment records. Please do not send confidential or sensitive information about residents, clients or people receiving care.

Why we use it

We use enquiry details to respond, discuss your requirements and agree or deliver work. We do not currently use them for newsletters or unsolicited marketing, sell contact lists or make solely automated decisions with legal or similarly significant effects.

For business contacts, our legitimate interests are responding to requested business enquiries, managing client relationships and protecting the service against misuse. We limit use to what is needed for these purposes. Where you personally enter a contract with us, processing necessary to take requested pre-contract steps or perform that contract uses the contract basis. Necessary tax and accounting records are kept to meet legal obligations. Optional analytics, if enabled, requires your consent.

Forms, email and hosting

Forms send your entered details directly to Formspree over HTTPS. Formspree processes submissions and sends notifications. IONOS provides our business email and domain services; Gmail is also used to view and reply to enquiries. Joshua handles enquiries personally. We currently have no separate spreadsheet or CRM for enquiries.

Cloudflare hosts this website and processes technical requests, which can include IP address, browser details, requested URLs and security information. Fonts, photographs and site scripts are served with the website. The website does not maintain its own enquiry database.

Provider information: Formspree privacy, IONOS privacy, Google privacy and Cloudflare privacy. Relevant information may also be disclosed to advisers or authorities where necessary for a legal obligation or claim.

International processing

Our suppliers may process information outside the United Kingdom. Formspree states that it processes information in the United States and other countries where it operates, and describes its use of Standard Contractual Clauses as a processor. Supplier locations and safeguards depend on the service and applicable terms; we do not promise UK-only storage. How long we keep information

We keep information only while it is needed for the purpose for which it was collected. We review stored enquiries at least annually and delete unsuccessful or inactive enquiries when there is no continuing business or legal reason to retain them. There is no blanket policy of keeping every enquiry forever.

Client agreements, invoices and relevant correspondence may need to be kept longer to deliver services, meet tax or accounting requirements, or deal with complaints and legal claims. The applicable requirement and continuing need determine retention. Reviews cover Formspree and email copies; provider backups may expire separately under their retention arrangements.

Cookies and analytics

Google Analytics and advertising pixels are not enabled. Cookie preferences lets you see the current categories and manage any available optional services. Accepting does not enable services that are not in use.

Your choices and rights

You can ask for access to your personal information, correction, deletion, restriction or, where applicable, portability. You can object to processing based on legitimate interests and withdraw consent where processing relies on consent. Rights depend on the circumstances; some records may need to be retained for legal reasons.

Email hello@elderindex.co.uk to make a request. We normally respond within one month; lawful extensions or identity checks may apply. You can complain to the Information Commissioner’s Office. You do not have to contact us first.

Changes to this notice

We will update this notice when our services or data handling change. A future CRM, mailing list, advertising service or other new use will be assessed and disclosed before it is introduced.
